Privacy Policy

Note for the eARTh team: this is a starting draft, not legal advice -
Claude isn't a lawyer. It covers the standard elements (what we collect, why, and your
rights), but South Africa's POPIA has specific requirements - including registering an
Information Officer with the Information Regulator - that are worth a real legal review
before this goes live, especially once donations and email collection are flowing
through the site. Replace every bracketed placeholder
before publishing, and delete this notice.
eARTh Agency ("we", "us", "our") respects your privacy. This policy explains what
information we collect through earthagency.org, why we collect it, and what rights
you have over it.
What we collect
- Contact form: when you use the "Get in Touch" form, it opens
your own email application with your name, email address and message pre-filled.
We only receive this once you choose to send it - nothing is transmitted or stored
by our website itself.
- Newsletter sign-up: if you subscribe to our Field Journal, your
email address is collected and stored by our email provider, Flodesk, so we can
send you our seasonal newsletter. Flodesk's embedded sign-up form loads directly
as part of the page (it is not gated behind our cookie consent banner, unlike
Google Analytics below) - see Flodesk's privacy policy at
flodesk.com/privacy-policy for how they handle
your data.
- Donations: if you donate via PayPal or SnapScan, your payment
details are handled entirely by PayPal or SnapScan directly - we never see or store
your card or banking details. We only receive confirmation that a donation was made.
- Website analytics: we use Google Analytics to understand how
visitors use this site (pages viewed, general location, device type). This only
runs if you accept our cookie banner - Google Analytics uses cookies, and you can
decline them at any time. See Google's privacy policy at

how they handle this data.
How we use your information
We use the information above only to:
- Respond to enquiries sent through the contact form
- Send our Field Journal newsletter to those who subscribe
- Process and acknowledge donations
- Understand, in aggregate, how people use our site (if analytics are enabled)
We do not sell or rent your personal information to any third party.
Your rights
Under South Africa's Protection of Personal Information Act (POPIA), and the GDPR
for visitors in the EU, you have the right to access, correct, or request deletion
of your personal information. To do so, contact us at
shani@earthagency.org.
Third parties
We use the following third-party services, each with their own privacy policy
governing the data they process on our behalf:
- PayPal and SnapScan (donation processing)
- Flodesk (newsletter delivery)
- Netlify (website hosting)
- Google Analytics (site analytics, only after you accept cookies)
